Reports To: Chief Executive Officer (CEO) Location: Head Office Job Overview As Pizza Mizza continues its rapid growth, the Project Coordinator will serve as the central nerve center for every new restaurant launch as well as all small-to-medium-scale internal projects across the company. You will be responsible for orchestrating cross-functional teams, ensuring every new location and internal project is delivered on time, within budget, and up to brand standards. The primary objective of this role is to ensure efficient resource management, meticulous timeline tracking, continuous risk mitigation, centralized documentation, and precise reporting of outcomes to executive leadership. You will continuously monitor project progress, identify and resolve bottlenecks, conduct preliminary research for new business initiatives, and maintain seamless communication across all departments. Key Responsibilities Project Planning, Execution & Resource Management Project Initiation & Alignment: Participate actively in planning and executing all internal projects. Hold regular alignment meetings with project leads to define goals, key milestones, scopes, and deliverables. Detailed Timelines & Scheduling: Develop comprehensive project plans and timelines (execution schedules) for every initiative, agreeing on target completion dates with relevant leads and stakeholders. Master Opening Checklist: Develop and manage the end-to-end New Restaurant Opening (NRO) master timeline, tracking inter-departmental tasks and milestones. Research & Feasibility Proposals: Conduct preliminary research and market/feasibility analysis for new project initiatives; prepare draft proposals and initial action plans for leadership review. Resource Optimization: Efficiently manage and allocate project resources (human, material, and financial) to ensure cost-conscious and timely execution. Task Tracking & Cross-Functional Coordination Task Supervision & Deadline Management: Closely monitor the execution status of all project tasks across teams, ensuring on-time completion and immediately escalating any delay risks to leadership. Operational & Technical Support: Coordinate across departments to resolve technical and organizational issues promptly. Departmental Workflows: Construction & Design: Monitor build-out progress, permits, contractor timelines, and equipment deliveries. Operations & Kitchen: Coordinate kitchen setup, menu testing schedules, and supply chain readiness. HR & Training: Ensure recruitment timelines align with opening dates and coordinate on-site team training schedules. IT & Systems: Track POS installation, network setup, kitchen display systems, and delivery integration. Marketing: Ensure local marketing, signage, and grand opening campaigns launch on schedule. Effective Communication Stream: Establish and maintain smooth communication channels between project teams, department heads, and executive management. Centralized Knowledge Management & Documentation Central Project Hub: Organize and maintain all company projects on a single internal platform (e.g., Google Sites). Document Management: Ensure all project-related documentation, permits, schedules, and assets are properly stored, version-controlled, and updated regularly. Post-Project Evaluation: Perform post-project analysis upon completion, document "lessons learned" and best practices, and submit comprehensive handover reports to leadership. Risk Assessment & CEO Governance Proactive Risk Management: Identify potential technical, operational, and scheduling risks prior to and during the execution phase; provide actionable proposals to management to prevent delays. Periodic Executive Reporting: Prepare and submit clear weekly, monthly, and quarterly status reports to the CEO covering milestone completion, resource utilization, risk registers, and critical blockers. Executive Meetings: Lead weekly cross-departmental project and NRO meetings to evaluate progress, assign action items, and enforce accountability. Ad-Hoc Directives: Promptly and accurately execute additional project management and coordination tasks as directed by the CEO. On-Site Support & Operations Handover Site Inspections: Conduct regular on-site visits prior to launch to verify physical, operational, and structural readiness. Soft Launch & Opening Coordination: Provide direct on-site management during trial runs, soft launches, and grand opening weeks. Operations Handover: Perform 30-day post-opening reviews to ensure smooth transition and full handover of project deliverables to the Operations team. Qualifications & Requirements Experience: 3+ years in project management, project coordination, or operational planning—preferably within the F&B, retail, or hospitality industry. Project Systems Familiarity: Prior experience in multi-unit retail/restaurant rollouts and handling internal business project frameworks from inception to completion. Tools & Software: Proficiency in project management software, Google Workspace (Google Sites, Sheets, Docs), and Excel. Communication & Governance: Exceptional written and verbal communication skills; comfortable facilitating cross-departmental meetings and presenting to C-suite executives. Problem-Solving & Urgency: Strong analytical skills with a proactive mindset for identifying risks and resolving operational bottlenecks rapidly. Mobility: Willingness to travel frequently to new restaurant sites and operational locations as needed. Language Skills: Azerbaijani proficiency required; working knowledge of English and Russian is highly desirable. What We Offer Competitive salary package with performance bonuses.
